Personal Assistant & Office Manager
We are looking for a highly organized and proactive Personal Assistant & Office Manager to support daily business operations and administrative needs. The ideal candidate will be detail-oriented, resourceful, and able to manage multiple tasks while ensuring the smooth running of the office.
Key Responsibilities:
Administrative & Office Management:
- Oversee day-to-day office administration and ensure smooth office operations
- Manage office supplies including food, beverages, and stationery
- Coordinate cleaning services and ensure office facilities are well maintained
- Organize team schedules, internal meetings, and office calendar
- Coordinate team events including birthdays and team-building activities
Personal Assistant Duties:
- Provide administrative and organizational support to management
- Handle correspondence, scheduling, and meeting coordination
- Assist with personal and professional administrative tasks when required
Government & Bureaucratic Affairs:
- Manage communication and procedures with local authorities and institutions
- Handle matters related to immigration, banks, utility bills, rent payments, and other official processes
- Ensure documentation and compliance requirements are properly managed
Travel & Event Coordination:
- Arrange travel and accommodation for conferences and business trips - Book flights, hotels, taxis, and restaurants
- Coordinate conference logistics including registrations and branding materials when needed
Requirements
Fluency in Greek and English (written and spoken)
Proven experience in office administration and/or personal assistant roles
Experience dealing with bureaucratic procedures and authorities (immigration offices, banks, government services, etc.)
Strong organizational and multitasking skills
Excellent communication and problem-solving abilities
High level of discretion and reliability
Additional Expectations
Flexibility to be available after office hours and on weekends when necessary
Ability to work independently and proactively handle tasks
